VidyaByte is a cloud-based multi-school Enterprise Resource Planning (ERP) platform developed, operated, and maintained by Byteproc Solutions Pvt. Ltd. ("Byteproc", "Company", "we", "us", or "our"). We are deeply committed to safeguarding the privacy, security, and confidentiality of all institutional, faculty, student, and parent data processed across the VidyaByte platform.

1. Multi-Tenant Architectural Data Isolation

VidyaByte is engineered using a strict multi-tenant SaaS architecture. Data belonging to each subscriber school, academy, or educational trust is logically segregated at the database level and encrypted at rest using AES 256-bit encryption standards. No institution can access, query, or view data owned by another institution under any circumstances.

2. Categories of Data Collected and Processed

We process data strictly on behalf of subscribing educational institutions to fulfill school management and communication services:

  • Student Information: Name, roll number, admission details, class section, guardian contact details, attendance timestamps, academic marks, co-curricular observations, and transfer certificate logs.
  • Staff & Faculty Records: Employee designation, department, biometric attendance logs, shift schedules, and system role access permissions.
  • Financial & Fee Records: Fee category assignments, ledger balances, online payment transaction reference IDs, cashier logs, and digital receipt copies.
  • Device & Communication Logs: Push notification tokens, SMS/WhatsApp delivery logs, and IP addresses used for secure system logins.

3. Custom Branded Mobile Apps & Play Store Compliance

For subscribing schools utilizing custom white-labeled mobile applications published under the school's official name and logo on Google Play Store:

  • Applications strictly comply with Google Play Developer Data Safety Guidelines and the Digital Personal Data Protection (DPDP) Act.
  • Apps request minimum necessary device permissions: Storage permission (to download fee receipts and PDF report cards), Camera permission (for profile photo updates or document scanning), and Notification permission (for instant push alerts).
  • Mobile applications contain zero third-party advertising SDKs, ad trackers, or unauthorized analytics frameworks.

4. Biometric Terminal & Payment Gateway Security

Attendance integrations with hardware devices (fingerprint scanners, facial recognition units, RFID smart cards) process encrypted template identifiers or raw timestamps solely for daily attendance calculation. Online fee transactions are executed via PCI-DSS Level 1 compliant payment gateways (UPI, Cards, Net Banking). VidyaByte servers never store sensitive credit card numbers or CVV codes.

5. Zero Data Commercialization Policy

Byteproc enforces an absolute zero-commercialization rule. We do not sell, rent, trade, lease, or monetize student, parent, or institutional data to third-party advertisers, data brokers, or marketing networks.

6. Data Ownership, Portability & Retention

Subscribing institutions retain 100% intellectual property ownership of all uploaded data. Administrators may export complete student directories, attendance histories, and financial ledgers in CSV or PDF formats at any time. Upon subscription termination, Byteproc retains data for a 30-day grace period to enable full data migration, after which all institutional records are permanently and securely deleted from active cloud servers.
